Managing grants

What to do once a grant is awarded: the conditions, the records, the reporting and the relationship with the funder.

Winning a grant is the start of a set of obligations. Read the offer letter and conditions carefully before you accept, and diarise every reporting date and the end of the grant period.

  • Keep grant money identifiable in your accounts, and spend it only on what was agreed.
  • Record the outputs and outcomes you promised as you go, not at the end.
  • Tell the funder early if plans change or you will underspend; most would rather agree a variation than receive a surprise.
  • Credit the funder in your publicity, and send them photos and stories.
  • File the final report on time; it is the reference for your next application.

FVA supports organisations to manage the grants we administer and can help with reporting to other funders. See also monitoring and evaluation.
