YMCA Cupar is looking to recruit an Administrative Assistant to join its team. Experience of working in an office setting or undertaking administrative duties is essential.
Duties include:
- Day-to-day reception duties.
- Dealing with enquiries in person, by telephone and online.
- Specific administrative tasks: including invoicing, banking, processing youth worker pay claims, inputting information onto the Cognisoft database, managing a petty cash system, calculating holiday entitlement for staff.
- General cash handling and processing of payments.
- Photocopying and creating of materials including posters, signage, tickets.
- General administrative tasks as directed by General Secretary and Management Committee.
- Liaising with members, tutors, partners and organisations regarding general enquiries, bookings, etc.
- Co-ordinating and managing the bookings diary.
- Working alongside the treasurer to undertake tasks to include payment of invoices, creation of a weekly and summary monthly balance sheets, admin relating to the end of year accounts.
- Organising the servicing of the heating and fire alarm systems and equipment, and water testing checks.
- Liaising with contractors - requesting quotes and negotiating timetabling of works.
- Undertaking any administrative tasks relating to partnership working with Fife Council.
- Any other duties as requested by the General Secretary and Management Committee.
